Climbing Club Kuluar Ltd, trading as Slough Climbing Wall (“we”, “us” or “our”), is responsible for the personal information described in this notice. We operate Slough Climbing Wall at the Everyone Active Ice Arena, Montem Lane, Slough SL1 2QG. Climbing Club Kuluar Ltd is registered in England and Wales under company number 12504146, with its registered office at 2 Clifton Court, 15 High Street, Knaphill GU21 2PG.

Information we collect

  • Names and contact details supplied through enquiries, bookings, memberships and customer communications.
  • Booking details, including dates, sessions, group sizes, attendance and payment status.
  • Participant and parent or guardian information supplied through climbing waivers, consent forms or registrations.
  • Age, emergency contact, accessibility, allergy, medical or support information needed to provide activities safely.
  • Payment and transaction records. Complete card details are handled by the payment provider and are not stored by us.
  • Complaints, incident reports, accident records and related correspondence.
  • Photographs or video only where appropriate permission has been obtained.
  • Basic technical and security information created when the website, booking system or its forms are used, such as IP address, browser information and security logs.

Information about children is normally supplied by a parent, guardian or responsible booking adult. Please provide only information that is accurate and necessary.

How and why we use information

  • To answer enquiries and provide requested information.
  • To arrange, administer and deliver bookings, climbing sessions, courses, parties and memberships.
  • To take payment, issue confirmations, manage cancellations and maintain accounting records.
  • To check waivers, plan staffing and reasonable adjustments, and protect participant safety and welfare.
  • To investigate incidents, respond to complaints and establish, exercise or defend legal claims.
  • To protect the website and booking system, prevent misuse and maintain reliable services.
  • To send optional marketing or use identifiable images only where appropriate permission has been given.

Our lawful bases

We use personal information where it is necessary to take steps at your request or perform a contract, comply with legal obligations, or pursue legitimate interests such as operating the climbing wall safely, answering customers, securing our systems and managing or defending claims. We rely on consent where it is the appropriate basis, including for optional marketing and certain uses of photographs.

Health, medical and accessibility information receives additional protection. We use it only where necessary for safe participation and reasonable adjustments, normally with explicit consent provided by the participant or their parent or guardian. In an emergency, information may be used to protect someone’s vital interests.

Who we share information with

We share information only where reasonably necessary with organisations that help us provide the service, including website hosting and form providers, booking and membership systems, payment processors, email and IT providers, professional advisers and insurers. Operational information may be shared with Everyone Active, instructors and authorised venue staff where needed for administration or safety.

We may also share information with emergency services, regulators, courts or other authorities where required by law or necessary to protect people. We do not sell personal information.

International transfers

Some technology providers may process information outside the United Kingdom. Where this happens, we require an appropriate legal safeguard, such as UK adequacy regulations or approved contractual protections.

How long we keep information

  • General enquiries: normally up to 24 months after the enquiry is resolved.
  • Booking, transaction and accounting records: normally six years after the relevant financial year.
  • Waivers, incident and safety records: for as long as reasonably required for safeguarding, insurance and legal claims, taking account of a participant’s age.
  • Medical and accessibility information: only for as long as needed to deliver the activity safely, unless it forms part of an incident or legal record.
  • Marketing preferences and permitted images: until permission is withdrawn or the material is no longer required.
  • Technical and security logs: only for the period reasonably required for security and troubleshooting.

Information may be kept for longer where law, insurance requirements, safeguarding concerns, an active dispute or a legal claim requires it. When information is no longer needed, it is deleted or anonymised.

Cookies and website information

The website may use cookies or similar technology that is necessary for security, forms, bookings and core website functions. If optional analytics or marketing cookies are used, appropriate choices will be provided.

Your rights

Slough Climbing Wall

Operated by Climbing Club Kuluar Ltd — specialists in indoor and outdoor climbing courses for adults and children.

Montem Ln, SL1 2QG, Slough

The climbing wall is part of the shared sports hall environment inside the Everyone Active Ice Arena, where Kuluar Climbing delivers supervised climbing activities. Everyone Active retains full access to the climbing wall area and is responsible for all building‑level maintenance, compliance, and safety systems.

Main climbing wall is located inside the Ice Arena building, next to Clip & Climb (please don’t be confused).
